"We've always done it this way."

It is a phrase I have heard countless times throughout my career. Sometimes it is said with confidence. Sometimes with frustration. More often than not, it is said without anyone even realising it. The truth is, this mindset can quietly hold a business back. It is not usually about resisting change for the sake of it. It is simply that when a process has been in place for years, it becomes familiar. People stop questioning it because it has become “the way we do things”.

After more than 38 years in Property Management, I have learnt that familiarity does not always equal efficiency. In fact, some of the biggest opportunities for improvement come from challenging the very things we have stopped noticing.

When Busy Becomes the Norm

Property Management is a fast-paced industry. Every day brings competing priorities, urgent maintenance requests, difficult conversations and endless interruptions.

When you are caught up in keeping everything moving, reviewing your processes rarely feels urgent. Instead, businesses adapt. Team members create workarounds, add extra steps, develop their own ways of completing tasks and simply get on with the job.

Over time, those little adjustments become embedded in the business. Before anyone realises it, what started as a temporary solution has become standard practice. But busy does not always mean productive.

Many teams are working incredibly hard, yet they are spending valuable time on tasks that could be simplified, automated or eliminated altogether.

The Industry Has Changed – Has Your Business?

Think about how much Property Management has evolved over the past decade.

  • Technology has transformed the way we communicate.

  • Legislation continues to change.

  • Clients expect faster responses and greater transparency.

  • Businesses have access to tools and systems that simply did not exist years ago.

Yet I still see agencies relying on processes that were developed for a very different time. That is not because they are doing anything wrong. It is because no one has stopped to ask whether those processes are still the best way forward. Successful businesses do not evolve by accident. They evolve because leaders intentionally review what they are doing and look for opportunities to improve.

Small Inefficiencies Create Big Problems

One unnecessary email probably does not seem like a problem. Neither does an extra phone call, a duplicated spreadsheet or a task that is completed differently by each team member. On their own, these things feel insignificant. But when they are repeated dozens of times every day, by every person in the team, they begin to have a real impact.

  • Time disappears.

  • Mistakes become more common.

  • Frustration grows.

  • People feel overwhelmed, even though they are working incredibly hard.

Often, it is not the workload that is creating the pressure… it is the way the work is being done.

Ask Better Questions

One of the questions I love asking business owners is this:

“If you were starting your Property Management department from scratch today, would you build it exactly the way it operates now?”

It is a simple question, but it is a powerful one. Because it shifts the conversation away from defending existing processes and towards exploring better possibilities.

Instead of saying, “This is how we have always done it”, people begin asking:

“Could there be a better way?”

That is where real improvement begins.

Your Team Already Has Valuable Insights

One of the greatest resources in your business is sitting right in front of you: your team.

The people completing the work every day know exactly where the frustrations lie.

  • They know which processes take too long.

  • They know where communication breaks down.

  • They know which systems create unnecessary duplication.

The challenge is that many businesses never ask.

When leaders create space for honest conversations and genuinely listen, they often uncover simple improvements that make a significant difference.

  • People feel heard.

  • Processes improve.

  • The whole business benefits.

Improvement Does Not Have to Mean Reinvention

One of the biggest myths I hear is that improving systems requires a complete overhaul. It does not.

Sometimes the biggest wins come from the smallest changes:

  • Clarifying responsibilities.

  • Removing unnecessary steps.

  • Creating a workflow that everyone follows consistently.

  • Improving communication.

  • Documenting a process that previously existed only in someone’s memory.

These are not dramatic changes. But collectively, they can completely transform the way a department operates.

Progress Is a Choice

The most successful Property Management businesses I have worked with all have one thing in common: they never stop looking for ways to improve.

They understand that success is not about constantly changing everything. It is about staying curious. Reviewing what is working. Being honest about what is not. Having the courage to make adjustments before small frustrations become major problems.

Because the businesses that continue to grow are not necessarily the ones with the biggest teams or the largest portfolios. They are the ones willing to evolve.

Final Thoughts

After nearly four decades in Property Management, I have seen our industry change in countless ways. The businesses that continue to thrive are not those that cling to old habits simply because they are familiar. They are the ones prepared to challenge themselves, review their systems and embrace better ways of working.

So, the next time you hear the words, “We have always done it this way”, I would encourage you to pause. Instead, ask a different question:

“Is there a better way?”

That one question could be the beginning of meaningful change — not just for your processes, but for your team, your clients and the future of your business.
