The Workload Spike Most PM Departments Never See Coming (Until It's Too Late)
Introduction
Every property management business owner knows the feeling: things are ticking along fine, then suddenly your team is buried. Vacate notices pile up, routine inspections fall behind, maintenance requests double, and property managers are answering emails at 8pm just to stay afloat.
Heading into the last quarter of the year this can hit hardest … tenants moving leading up to Christmas, landlords wanting maintenance sorted, and compliance checks come due all at once. None of it is unpredictable; it happens every year. Yet most departments still get caught out by it.
The real issue isn't the seasonal surge itself. It's that most PM departments don't have the structure to absorb a spike without everything - and everyone - feeling the strain.
Why "Just Push Through" Doesn't Work
When workload increases, the instinct is to tell the team to push harder. It works for about a fortnight, then burnout sets in and standards start slipping, inspections get rushed, follow-ups get missed, clients notice.
The underlying issue is rarely effort. It's usually one of three things: unclear role boundaries, no defined process for handling volume spikes, or a lack of visibility for you as the owner into where the real bottlenecks sit. Pushing harder treats the symptom. Fixing the structure treats the cause.

Get Clarity on Role Ownership
A lot of PM departments run on shared responsibility that isn't actually shared evenly … property managers doing leasing follow-ups, trust accounting queries and maintenance coordination all at once, with no clear line on who owns what. That's manageable in a quiet month. It falls apart in a busy one.
Before workload increases, map out who owns each part of the process, inspections, maintenance, leasing, arrears, compliance. It's not about rigid job descriptions for the sake of it; it's making sure nothing falls through the cracks because three people assumed someone else had it covered.
Build a Simple Workflow for High-Volume Periods
Most departments have a "normal" way of doing things but no specific plan for when volume spikes, and that gap is where things go wrong. A good workflow answers three questions: what gets prioritised when everything can't be done at once, what gets delegated or batched, and what can genuinely wait a day or two without creating risk.
Compliance items - smoke alarms, pool fencing, gas and electrical safety checks - should never be the thing that slips. Documenting this means the standard doesn't change depending on who's covering what that week, and your team isn't making it up under pressure.
Protect Consistency, and Watch for the Retention Risk
Inconsistency is one of the fastest ways client trust erodes, one property manager responds within the hour, another takes three days. Clients notice when their experience doesn't match a colleague's or friend's. Consistency comes from agreed standards for communication, inspection quality and reporting, held across the whole team regardless of how busy things get.
Busy periods are also when good property managers start looking elsewhere … not because of the work itself, but because unclear expectations and no support during pressure points make the job feel unmanageable. The useful conversation isn't "can you handle more," it's "what would make this period easier." Staff who feel seen during pressure periods are far more likely to stay through them.
What Property Management Businesses Should Take Away
Seasonal spikes aren't going anywhere, they're part of running a PM department. What separates businesses that come through them smoothly is structure: clear role ownership, a defined workflow for busy periods, and consistent standards across the team. Before things ramp up further, review where your department's bottlenecks really sit, role clarity, process, or workload distribution, and put a plan in place rather than relying on the team to simply absorb whatever comes.
Final Thoughts
A department that handles a busy period without losing quality or people isn't the result of a stronger team … it's the result of stronger structure behind that team.
So the question is - how prepared are you for running into the year end?
If you'd like an outside perspective on where your department's structure, processes or team performance could be strengthened, I'd love to have that conversation with you.
